Background
Due to the upcoming electronic Patient Record (ePA), Vivy, as an electronic Health Record (eGA), will no longer be financed by statutory health insurances after 30.04.2022. Therefore, the file function of Vivy must be terminated. On that occasion, Vivy has also decided to discontinue the file function for private health insurances on 30.04.2022.
If you have not saved any data in Vivy up until now, you do not need to take action.
If you have uploaded data to Vivy, you should export it before the file function is terminated on 30.04.2022. The export is relevant for two reasons:
- to have a private backup of your medical data on your phone, computer, or cloud and
- to be able to import your data into the electronic patient record (ePA) of your health insurance company after creating the backup.
Below you will find a description on how to successfully manage your data export from an Android smartphone or iPhone and prepare your medical data for the import into the ePA. If you prefer to work with a PDF, you can download the manual here.
How to export your data from Vivy
Android smartphone
1) Before you start the data export, update your phone and Vivy to the latest versions. Also, make sure you are connected to a wifi network, because Vivy will likely transfer a big amount of data during the export.
Have your user name and password prepared. If you did not log in for over 30 days, you will also be asked to confirm your account via SMS authentication. After entering your telephone number, you´ll receive a code via SMS that you have to insert into the SMS code screen when asked for it.
If you switched the phone or if you have uninstalled the vivy app, you will need to scan or upload the private key to proceed. Here you can see what the private key screens look like:
In case you have lost your private key or have never downloaded it to begin with, please read point 1 of our help page article about data loss.
2) Next, go to “Menu” (three bars on the upper left) to open the “Settings”. By clicking on “Export Data” and confirming it on the next screen, you start the backup process.
3) For additional security, set a password to make sure that only you can open the file.
Note: You cannot skip the password setting. Your password needs to have at least 12 characters, a number, a lowercase character, an UPPERCASE character, and a special character. Make sure you remember the password, since you will need it later on and there is no way to reset it after the export. If you forget it, you will have to start the export all over again. Please remember that this is only possible until 30.04.2022.
4) Choose where you want to export your data to: Your export options depend on your phone settings and the apps you have installed that support file sharing. You can either
- save the file in the phone ( local storage or any cloud option like Google Drive) or
- send it via email. Note that a limit of file size of your mail provider may apply.
All the medical data you have stored in Vivy will now be exported. This includes your emergency data, documents, vaccinations, medication, and your checkup plan.
5) Please note that the exported file cannot be opened on your Android device. You can only open it on your Windows or Mac.
For decoding of the .gpg file on Windows, we recommend you to install one of the .gpg decryptors like Kleopatra (https://www.gpg4win.org/). To decrypt the file, the program will ask you to enter the password you set in step 3. It will then provide a decrypted zip file named “VivyData.zip” in your download folder.
If you want to export your data from an Android phone to a Mac device, please download the Mac version of the .GPG decryptor, e.g. https://gpgtools.org/.
iPhone

If you want to export your data from an iPhone to a Windows device, please download the Windows version of a 7z decryptor, e.g. at www.7-zip.org.
How to import your data into any electronic Health Record (ePA)
If you are insured with statutory health insurance, your insurance company has offered the electronic Patient Record since 1.1.2021. From version ePA 2.0 (1.1.2022), the ePAs of all Vivy partner GKVs have an import function that can be used to import the backUp. If you have changed your health insurance company and your new health insurance company was not a Vivy partner, you must find out whether an import is possible. Our homepage provides a list of our current insurance partners.
If you are insured with private health insurance: Ask your contact person when the insurance will offer an ePA and whether it has an import function for Vivy backups. Until this is clarified, you should temporarily store your backup on your device, a computer or a cloud.
The backup you have exported and decrypted, can easily be imported into the ePA afterwards (with the exception of individual file formats, e.g. videos).
To import the data into an ePA you have to
- First install the ePA 2.0 of your health insurance. Go to the Apple Appstore or Google Play and enter the name of your insurance and the word ePA. There you will find detailed installation instructions.
- Once you have installed the ePA, click on "Import data".
